Contributor Media Licence — draft v1 1. Parties and scope This licence is granted by the person submitting material (“you”) to Mark Worley, trading as WhitefriarsGlass.uk (“WhitefriarsGlass.uk”, “we”, “us”). It applies to photographs, scans and other image/media files submitted through a WhitefriarsGlass.uk upload function that states this licence applies, together with associated non-private descriptive/reference metadata (“Contributed Material”). Private account/contact details and private acquisition information do not become public reference material merely because an image is licensed. 2. You keep copyright You retain the copyright and other ownership rights you hold in the Contributed Material. This licence does not assign or sell your copyright to WhitefriarsGlass.uk. 3. Your authority to contribute By submitting Contributed Material, you confirm that you own the rights needed to grant this licence or otherwise have sufficient permission/authority. You must not knowingly submit material where doing so would infringe another person’s copyright, privacy, confidentiality or other legal rights. 4. Licence granted You grant WhitefriarsGlass.uk a non-exclusive, worldwide, royalty-free licence to use the Contributed Material as reasonably necessary to operate, maintain, preserve, develop and present WhitefriarsGlass.uk and its Reference Library/research project. This includes permission to store, back up, reproduce, display and publish it; resize, crop, rotate, compress, colour-manage, convert format, create thumbnails/responsive versions and technical watermarks; make technical copies for hosting, delivery, indexing, preservation, migration and disaster recovery; associate it with non-private research metadata; use it in search, comparison, identification, catalogue and Reference Library functions; archive it for the research record; and allow technical providers acting for WhitefriarsGlass.uk to perform those acts only as necessary for their services. The licence is limited to purposes reasonably connected with WhitefriarsGlass.uk, its operation, preservation, research/reference functions and direct promotion or explanation of that project. It does not give WhitefriarsGlass.uk ownership or an unrestricted right to exploit the material for unrelated purposes. 5. Non-exclusive use You remain free to use, publish and license your material elsewhere, subject to any other agreements you have made. 6. Collection-item removal and Reference Library transfer When an item is deleted, retired, archived or removed from an active collection, the site may offer to transfer eligible photographs and reference information to the Reference Library. The default may preserve eligible material, but you must have a clear opportunity to opt out before confirming removal. If you do not opt out, this licence continues for transferred material. If you expressly opt out before the relevant removal, WhitefriarsGlass.uk must not create a new Reference Library copy from that item as part of that removal. This does not require immediate erasure of temporary backups, security evidence or material lawfully retained for another reason. 7. Account deletion and anonymisation For eligible material transferred when an account is deleted, WhitefriarsGlass.uk must remove or anonymise the former account holder’s private account/contact identifiers from the retained public/reference record. Reference-useful attribution/provenance may be retained only where non-private and lawfully appropriate. 8. Duration and takedown For material retained in the Reference Library, the licence continues while it is retained for permitted Reference Library/research purposes. Removing an item or account does not automatically terminate that retained-reference licence. WhitefriarsGlass.uk maintains a contact/takedown process for credible copyright, privacy, confidentiality or other rights concerns and will take action reasonably required where a takedown is justified. Other active-use copies eligible for deletion should be removed with the associated content, subject to normal backup, security, legal and evidential retention. 9. Attribution and moral rights Where practical and appropriate, WhitefriarsGlass.uk may display supplied contributor/source attribution. This agreement does not purport to transfer moral rights. Technical edits must be proportionate and must not knowingly misrepresent the contribution. 10. No payment Unless separately agreed in writing, no licence fee or royalty is payable. 11. Versioning and explicit acceptance The licence has a version identifier and effective date. Acceptance is an explicit positive action and is not pre-ticked. WhitefriarsGlass.uk records the accepting user, version, timestamp and exact terms/hash accepted. A material change requires acceptance of the new required version before the next interactive image upload. Legacy uploads are not given fabricated or back-dated acceptances. 12. Privacy Use of personal information is governed by the applicable WhitefriarsGlass.uk Privacy Notice. This licence and the Privacy Notice do not replace one another. 13. Applicable law and mandatory rights This licence is intended to operate under applicable UK law. Nothing in it excludes rights or remedies that cannot lawfully be excluded.
